Marketing Programs & Operations Manager

TradeStation Work From Home, Heredia Province (Remote) Full-Time

What We Are Looking For:

We are looking for a Marketing Operations Manager who will manage the marketing team with everyday operations and cross-functional initiatives. In this capacity, you will create and refine workflows and standards that elevate our operational capabilities to new heights of efficiency and consistency. As the Marketing Operations Manager, you will be responsible for managing the day-to-day execution of our marketing programs and ensuring that all marketing activities are in line with our company’s mission and standards.

What You’ll Be Doing:

Project Management:

  • Effectively lead and direct the planning and implementation of multiple marketing programs, initiatives, and projects
  • Utilize proven project management and agile project management methodologies and processes for project/program management, resource planning and, change management
  • Manage timely, consistent, and appropriate communication of status and progress of projects, programs, and marketing activities to business owners and stakeholder
  • Define an efficient marketing project and program management framework to keep an elevated level of marketing operations productivity
  • Lead and guide technical conversations between external partners and internal marketing channel/program owners
  • Proactively engage executive stakeholders, project sponsors, the VP of Marketing, and the marketing team to ensure that project risks and issues are identified and communicated early so that the impact is negated or minimized

Vendor Management:

  • Manage VRM process for Marketing Department from beginning to end (including submitting contracts and NDAs into VRM tool, communicating with vendors and Legal on behalf of VRO, contracts routings, and setting vendor up for payment with accounting)
  • Communicate with vendors to address inquires and concerns
  • Resolve conflicts and manage escalation between the company and vendors, ensuring mutual satisfaction
  • Identify areas for improvement and work with vendors to implement corrective actions and drive continuous improvement
  • Manage and update vendor database for Marketing Department, ensuring accuracy

Budget Administrative Management:

  • Manage budget sheet balances and expenditures
  • Manage the advertising billing invoices and submit for payment in AvidXchange system
  • Follow-up on payment status with vendors as needed
  • Assist with monthly reconciliations for Advertising invoices
  • Prepare and submit VP of Marketing expense reports
  • Communicate with Accounting Team to address any concerns and improve processes where needed

Team Management:

  • Lead and mentor marketing team, fostering a collaborative and purposeful work environment
  • Provide insight and recommendations to Leadership regarding process improvements for Marketing team
  • Organize marketing department meetings and team building activities
  • Manage all administrative functions related to Marketing team as needed

The Skills You Bring:

  • Understanding of marketing operations support and program execution
  • Demonstrated ability to organize workload, multitask, think analytically, solve technical problems, and establish relationships across business units
  • Ability to lead/manage cross-functional teams
  • A distinctive blend of business, marketing, and project management skills acquired within corporate marketing departments or similar setting
  • Strong written and verbal communication skills.
  • Ability to escalate issues to the relevant parties to remove roadblocks or obstacles
  • Strong organization and planning skills with proven ability to multi-task
  • Ability to analyze and solve problems
  • Ability to supervise a large team
  • Strategic thinking and technical marketing skills
  • Must be a self-starter showing a high level of initiative
  • Strong background managing business relationships, and working cross-functionally to streamline marketing workflows, and improve overall operational efficiency
  • Experience managing a team environment and expectations
  • Expert-level proficiency with project management software development tools such as Monday.com, JIRA and Smartsheet, in addition to Microsoft Word, Excel, PowerPoint and Adobe Acrobat
  • Demonstrated ability to provide leadership within an organization

Minimum Qualifications:

  • BA/BS in Marketing, Digital Marketing, Business Operations, or related field
  • Minimum of 5-year experience in project management, operations management, or marketing specialist roles, preferably tenure with a fast-paced corporate environment
