Office and Travel Administrator

What You'll Be Doing:
Office Administration
- Answer, screen, and respond effectively to inquiries and requests via phone, in person or email
- Assist in Security set up for new hires
- Provide administrative support to the Branch Manager
- Main point of contact for building management
- Schedule and assist with meetings and coordinate conference logistics for all offices
- Responsible for maintaining Client Experience Team attendance tracking/reporting
- Support the office management function, maintaining computer-based and paper files, and opening/distributing/routing mail for the office
- Maintaining first aid kit, ordering/maintaining kitchen, and office supplies
- Assist HR in coordinating employee and company events such as holiday parties and any other company celebrations
- Assist with Executive expense reports and reconciliation of American Express statements for management team as needed
- Compile and update PowerPoint for quarterly employee meetings
Travel Administration
- Primary point of contact with Travel Agency; responsible for maintaining Travel Policy and Guidelines, and monitoring usage of company travel resources
- Review all Travel for TradeStation Group Companies
- Reconcile travel reports monthly; this includes oversight of unused tickets and travel booked outside of the automated system
- Maintain and update traveler profiles
- Maintain travel vendor relationships and contracts
- Trouble shoot any issues related to travel
- Book/oversee travel for the Executive Team
- Coordinate hotels, accommodations, and transportation for any out-of-town staff and contractors during local meetings
The Skills You Bring:
- Ability to relate to individuals at all levels using tact and good judgement and maintain the utmost confidentiality
- Demonstrate computer proficiency using MS Office (Word, Excel, Access, PowerPoint), and Internet/e-mail
- Strong organizational, verbal, and written communication skills and solid interpersonal skills with the ability to build collaborative working relationships
- A team player who demonstrates considerable latitude and flexibility in carrying out assigned tasks and energetic, hard-working, self-motivated
- Must be decisive, action- oriented with an ability to follow through
- Ability to handle multiple projects simultaneously in a deadline-oriented environment with the flexibility for extended hours when necessary
- Ability to work independently and resolve problems and must understand that all duties are highly confidential and require broad and comprehensive knowledge of efficient business practices and office management
Desired Qualifications:
- College degree or equivalent experience
- 2 - 3 years of relevant experience in reception and office administration
- Excellent customer service skills

- Pay Range (US) $70-75K. (Countries outside of the US have differing ranges in accordance with local labor markets)
